Connection with Hotel Property Management System (PMS):

Encoding Process

a. Guest Information Input

• The staff inputs the guest's check-in and check-out dates, room number, and access permissions into the PMS.

b. Guest Information Input

A blank key card is placed on the encoder. The type of encoder depends on the card technology:

• RFID Cards: The card is placed near or on the encoder for contactless programming

c. Data Writing

The encoder writes encoded data onto the card. For example:

• Room number
• Access duration (check-in and check-out times)

d. Security Encryption

• For RFID cards (e.g., MIFARE), the encoder encrypts the data using security protocols like AES or DESFire, preventing unauthorized duplication or tampering

Issuing the Card

The programmed key card is given to the guest, who can use it to access their room and designated areas by tapping or inserting it into the respective card reader.

Access Management

The PMS tracks and manages card data, ensuring that:

• Cards automatically deactivate after the check-out time.
• Lost or stolen cards can be immediately deactivated, preventing unauthorized access.
• New cards can be issued for the same room, overwriting access on previously encoded cards.

Interaction with Hotel Lock System

The card communicates with the door lock system (or other access points) via:

• RFID/NFC Readers: The lock detects and verifies encrypted data wirelessly

If the card’s data matches the lock’s permissions, access is granted.
